Position
The Administrative Assistant for Victor’s Landscaping, Inc. is responsible for coordinating all front office activities to ensure the business flows smoothly. They are proficient at answering, screening, and transferring calls to relevant departments, entering data into systems accurately and with an exceptional attention to detail. They are also responsible for managing the estimator’s schedule. They function as the face of the company and greet guests, employees, and clients with superior customer service via email, phone, and the company’s social media channels. The Administrative Assistant must be bi-lingual and have excellent written and verbal communication skills in both English and Spanish. It is preferred for the Administrative Assistant to have previous office setting experience.
Skills & Experience Required
- Enjoy working in a fast-paced office environment
- Experience in customer service, scheduling customer appointments, composing and editing professional client emails
- Strong written and verbal communication skills in Spanish and English
- Work as a team member with a minimum amount of supervision
- Ability to multi-task while maintaining a high level of accuracy
- Able to organize, prioritize, and execute a variable workload and multiple priorities
- Excellent problem solver with attention to detail
- Proficient with technology – quick learner with new programs
- Familiar with planning, organizing, updating and maintaining various business social media accounts
- A bonus for us - experience with QuickBooks, Microsoft Office, and Clip

Position
The Human Resources - Accounts Receivable/Payable Clerk for Victor’s Landscaping, Inc. has exceptional attention to detail and is responsible for various duties relating to maintaining accurate and current accounts payable and accounts receivable, including data entry, generating statements, and timely communication with appropriate individuals or entities regarding charges, payments, notices, the status of accounts payable and accounts receivable, and related information. They follow up with collections on past due accounts as needed, reconcile vendor and credit card accounts, and process payroll for the company on a bi-weekly basis. They are proficient in maintaining employee records and ensuring that internal databases are kept accurate and up to date. They must be bi-lingual and have excellent written and verbal communication skills in both English and Spanish to communicate effectively with the company employees, clients, and the public.
Skills & Experience Required
- Experienced in human resource activities such as employee benefits, training, and certifications
- Experienced in accounts receivable and accounts payable including data entry, generating statements, and client liaison
- Demonstrates comprehensive knowledge of common accounting practices
- Experienced in all aspects of payroll, taxes, and benefits
- Strong written and verbal communication skills in Spanish and English
- Proficient with technology – quick learner with new programs
- Experience with QuickBooks, Microsoft Office, and Clip
- Effectively supervises key office activities
- Demonstrate ability to supervise and train staff when applicable
- Works as a team member with a minimum amount of supervision
- Ability to multi-task while maintaining a high level of accuracy
- Able to organize, prioritize, and execute a variable workload and multiple priorities
- Excellent problem solver with attention to detail
- Experience in staffing and recruiting a plus
